Key takeaway: Separate the purchase into registrar, mailbox/ESP, DNS/security, and outreach-platform layers. An agency buying an “all-in-one” infrastructure bundle still needs a clear ownership, migration, security and failure-response contract.
“Infrastructure provider” can mean four different things
An agency may pay one company for domain registration, another for DNS management, a mailbox host for actual sending accounts and a fourth for sequencing and reply operations. A bundled setup may simplify procurement but doesn't remove the underlying ownership, security or policy responsibilities.
The complete infrastructure guide explains how the system works end to end. This page is a vendor procurement worksheet: how to choose the companies operating each layer.
Separate the purchasing decisions
| Provider role | What you must control | Evaluation concern |
|---|---|---|
| Registrar | Domain ownership, renewal, transfer access | Can the client retain the domain? |
| DNS host | SPF, DKIM, DMARC and verification records | Can changes be audited and reverted? |
| Mailbox host | Inbox service, outbound permissions, support | Does intended use conform to policy? |
| Sequencer | Campaign workflow, sending controls, replies | Does it connect to the actual mailbox host? |
| Data / verification | Contact processing and enrichment | Privacy, retention and false certainty |
| Monitoring | Authentication, errors and reputation signals | Actionable evidence rather than vanity score |
Do not assume a vendor that advertises “unlimited inboxes” supplies mailbox subscriptions or permits unlimited sending. Connected accounts and messages sent are different units.
Questions for every provider contract
Who is the legal owner of each asset? Which employee can create or delete mailboxes? Can a client export data? Are SPF and DKIM instructions documented? Does the host permit the proposed outbound use? Where are invoices and support tickets recorded? What happens during an outage or offboarding?
A simple agency register should list each domain, its registrar, DNS provider, sending provider, sequencer workspace, billing owner and technical admin. Review it monthly, particularly before campaigns launch and after staff changes.
Bundle or assemble?
A bundled setup may reduce onboarding friction, but can concentrate access and complicate migrations. A modular setup may improve control at the cost of more integrations and invoices. Neither model inherently solves sender reputation or message compliance.
For a hypothetical three-client agency, a single staff owner can manage all DNS records, but each client should have its own documented access, data and offboarding plan. If a vendor offers dedicated infrastructure, ask what it physically and contractually isolates; “dedicated” is not a universal technical guarantee.
Choosing the outreach layer last
After verifying the sending and ownership layers, inspect which outreach platform supports the client model. PlusVibe documents workspaces and API access by tier; Instantly documents multiple outreach plans and agency features by tier. Compare those separately from mailbox costs in the agency tech-stack calculator.
If provider changes are being considered because of poor inbox placement, investigate deliverability errors before migrating; moving the same unsuitable list and content rarely addresses the cause.
This is a procurement guide. For actual configuration, read the infrastructure checklist; for dollars, use the editable calculator.
- DNS accidentally changed: can your team roll back a known-good configuration promptly, or must every change go through vendor support?
- One client violates a provider policy: are the remaining clients isolated operationally, or can shared infrastructure become unavailable?
- Mailbox migration: can you export data, rotate credentials, update MX/DKIM and retain complaint/suppression records?
- Provider account locked: do you have independent access to registrar renewals and domain DNS?
Provider categories: concrete examples and actual responsibilities
| Layer | Examples (editorial context) | What they provide / do not provide |
|---|---|---|
| Domain registrar / DNS | Cloudflare Registrar and DNS; Namecheap or another accredited registrar | Registration and record management. A domain purchase does not provision mailboxes or establish outbound permission. |
| Mailbox and sending policy | Google Workspace; Microsoft 365 | Managed business mailbox services with their own pricing, quotas, abuse policies and authentication instructions. |
| Specialized infrastructure management | Agency-oriented managed mailbox/domain setup offered by some outreach providers | May automate records and provisioning; independently verify registrar ownership, admin access and offboarding exports. |
| Outreach and campaign control | PlusVibe or Instantly (supported affiliate options) | Campaign configuration and related outreach workflows. Sending platform cost should not be mistaken for domain/ESP ownership. |

Twelve-month ownership and offboarding test
For each supplier, record these details in writing: legal owner and registrar login, nameserver control, mailbox administrator, supported authentication, anti-abuse restrictions, billing currency, renewal/annual commitment, data residency, export permissions, support hours, and incident/termination process.
Fictional scenario: an agency has eight clients, each with two domains and three mailboxes. That is 16 domains and 48 mailboxes. A per-mailbox uplift of $3/month produces $144 extra monthly before software or support. If the bundle saves enough provisioning work that may be acceptable—but only if client-level ownership and export rights remain clear.
Operational failure scenarios to include in selection
PlusVibe: verify the current offer
Obtain the ownership/export answer from each provider before signing: who owns the domains, mailboxes, DNS and client data if the relationship ends? Compare real recurring costs in the agency calculator rather than trusting per-mailbox headline rates.
