Key takeaway: An agency needs a repeatable operating system for each client: bounded access, documented approvals, separate sender assets, consistent reporting and a reversible offboarding process. Workspaces are useful containers, but cannot replace a written ownership matrix.
A workspace is not an operating procedure
Software separation helps, but an agency still needs a documented system for who approves prospect sources, who can change sending settings, who sees replies and who owns data after termination. This playbook turns separate client environments into an actual daily workflow.
Use a single client register with non-sensitive references to contracts, domain owners, workspaces, sending-account inventories, suppression owners, operational staff, approved use cases and renewal dates. Keep credentials in an access manager rather than the register.
The five operating rituals
Onboarding: Confirm legal client identity, ownership of domains and data, mailbox provider permissions, actual service scope, compliant outbound purpose and who signs off copy. Create the workspace only after the client boundary is documented.
Daily operations: Review new replies, unsubscribe events, mail-provider errors, queue exceptions and paused campaigns. Escalate complaints to a human instead of automatically substituting a different mailbox.
Weekly review: Compare approved campaigns against their current target segments and prospect sources; inspect authentication status, list-verification exceptions, user permissions and software charges. Decide which cohorts remain appropriate.
Monthly review: Reconcile domain and mailbox invoices with the agency cost calculator, inspect subscription entitlement and audit employees or contractors who still have access.
Offboarding: Pause outbound activity, fulfill legitimate client data exports, preserve required suppression records, revoke tokens and vendor credentials, transfer domain control if contractually applicable, and confirm which records must be retained or deleted.
Example access matrix
| Role | Typical need | Require explicit approval for |
|---|---|---|
| Agency administrator | Workspace configuration and staff roles | Cross-client data access |
| Campaign operator | Draft and monitor approved campaigns | Bulk enrollment changes |
| Client reviewer | Approve copy, view agreed reporting | Shared infrastructure settings |
| Integration service | Narrow, documented automated operations | New scopes or API credentials |
| Finance | Subscription and allocation data | Lead/reply data |
These are suggested governance roles, not claims that PlusVibe or Instantly offers each exact permission level. Map this chart to each platform's real role options; access controls differ by tier.
Incident: a client asks to stop all email
A responsible response is not simply turning off a campaign switch. Confirm all scheduled jobs, integrations and retries are paused; propagate opt-out/suppression rules; identify shared automation credentials; and document the handoff. Verify that future workspaces cannot inadvertently reimport the same suppressed addresses.
Use the agency software buying framework to test workspace boundaries and the PlusVibe API guide when integration keys are involved. A better operating model reduces errors regardless of vendor.
PlusVibe's role documentation distinguishes admin and user authority. Verify actual tier and access in your account. An agency should maintain its own auditable access checklist regardless of whether it chooses PlusVibe or Instantly.
Suppose Client Delta terminates the engagement. Freeze campaigns and automation triggers; export required records under the contract; revoke platform credentials and operator access; transfer or confirm domain and mailbox ownership; stop renewals only after confirming continuity; and document the client-data retention/deletion schedule. Do not delete domain records prematurely if they serve the client's normal email.
Minimum client operating register
| Inventory field | Example entry (fictional) | Accountable role |
|---|---|---|
| Client and workspace | Client Delta / workspace-d | Account owner |
| Owned domains and mailboxes | Registered assets with renewal dates | Infrastructure lead |
| Permissions | Admin, operators, reporting-only staff | Security/admin lead |
| Suppression source | Approved CRM suppression list, last sync time | Data steward |
| Campaign approvals | Legal/brand/sequence owner and sign-off date | Client account owner |
| Reply coverage | Primary and backup owner, CRM route | Reply operations lead |
A 20-minute weekly operating ritual
- Review active sender inventory and confirm no mailbox or domain is orphaned.
- Sample authentication failures, policy warnings and genuine opt-out events by client.
- Reconcile approved prospect sources and suppression updates before importing anything new.
- Review unanswered client replies and CRM handoff failures.
- Evaluate actual tools and infrastructure costs against the monthly stack model.
One-client incident and offboarding sequence
PlusVibe: verify the current offer
Run a quarterly client-boundary audit: have an ordinary operator try to access another client's records; verify revocation, suppression propagation, asset ownership and offboarding exports. Treat any failed isolation check as a security incident.
