Outbound agency economics are driven by much more than a sequencer. Client count, mailboxes, domains, verification, data, automation and labor can determine whether a campaign is profitable. This calculator makes the recurring pieces visible and lets you compare a PlusVibe-led or Instantly-led subscription using your own assumptions.
Formula: monthly total = mailboxes × monthly mailbox fee + domains × annual domain cost ÷ 12 + monthly software subscription + monthly verification/data budget + other monthly costs. Monthly cost per client = monthly total ÷ active clients.
Use the editable client-cost calculator below to compare a PlusVibe-led stack against an Instantly-led stack with your own prices.
The lower subscription cost does not predict higher deliverability or a better client outcome.

Common costs excluding either platform: $0.00, including mailboxes $0.00 and amortized domains $0.00.
Instantly cost per client: $0.00. Annual run rate: PlusVibe $0.00, Instantly $0.00.
Illustration only: $8/mailbox, $15/domain/year, verification and other costs are user-editable example inputs—not vendor quotes. $77 and $97 are public monthly reference prices for different products/tiers observed October 27, 2026, not guaranteed-equivalent scopes. Totals exclude tax, labor, one-time onboarding and unlisted provider fees. No performance or sending outcome is implied.
How to interpret the results
The comparison holds mailbox counts, domain costs and other operating expenses constant between the two software scenarios. That isolates the subscription difference, but it does not prove the two quoted tiers include the same sending volume, workspace rights, integrations or services. If a tier lacks a required feature, substitute the actual eligible quote, including any add-on fees, before treating it as comparable.
The calculator uses a simple monthly run rate, not amortization of all business expenses. Annual totals multiply this run rate by twelve, so they will differ from prepaid discounts, seasonal client churn, variable usage fees or one-time onboarding work. Budget separately for people doing research, list review, replies, account operations, compliance and reporting.
What each input means
| Input | Definition | Common mistake |
|---|---|---|
| Active clients | Number of current paying client accounts allocated to the modeled stack. | Including prospects who are not yet paying. |
| Mailboxes | Total active mailbox subscriptions paid across clients. | Confusing a platform's account-connection allowance with free mailboxes. |
| Domains | Total domain registrations used by these operations. | Ignoring annual renewals because they are not monthly invoices. |
| Mailbox fee | Weighted average monthly per-inbox provider cost. | Missing licensing, provider or reseller pricing differences. |
| Verification and data | Monthly list-quality, enrichment or validation budget. | Assuming all records and credits come with the sequencer. |
| Software subscriptions | Actual qualified monthly plan and required add-on fees. | Comparing different sending capacity and team entitlements. |
| Other costs | Additional recurring tools, proxies where permitted, monitoring or similar items. | Omitting support and integration subscriptions. |
Mailbox count must reflect actual client allocations and paused/active status, not unlimited nominal accounts. Rotation is an accounting and authorization control, not a solution to provider restrictions.
Scenario: five clients with fifteen mailboxes
For an illustrative five-client workload, imagine fifteen mailboxes at $8 each per month, five domains at $15 per year each, $35 in verification/data costs, and $25 of other recurring expenses. Those operating inputs are hypothetical, not surveyed market averages. Plug in PlusVibe Business's publicly advertised $77 reference or Instantly Hypergrowth's $97 reference only as an initial demonstration. This comparison ignores tier-equivalence and must be revised against actual quotes before any procurement decision.
What the calculator intentionally does not model
- Taxes, currency differences or annual prepaid discounts.
- Paid onboarding, domain procurement, migration or contractor hours.
- Client-level revenue, churn, account-manager time or profit margin.
- Cost per lead, cost per meeting or lead-to-sale conversion probabilities.
- Inbox placement, acceptance rates or an appropriate daily sending limit.
- Specialized workspaces, dedicated IPs, premium deliverability or custom enterprise terms.
Those belong in a separate operational P&L and cannot be inferred from a software subscription.
Choosing which stack to model
PlusVibe-led: document which Personal, Business or agency plan actually covers your workspaces, API and campaign needs. Its help center describes Business API access and workspace roles. Instantly-led: confirm Outreach limits, optional credits and CRM, additional workspaces and required user permissions. See the head-to-head guide and Instantly pricing breakdown for the major gating questions.
Make the model useful in your weekly operations review
- Compare forecast against actual recurring invoices.
- Tag costs to each client without exposing one client's data to another.
- Review mailbox and domain inventory before renewal.
- Remove unused accounts only after properly preserving client records and suppressions.
- Monitor refunds, fees and support overhead separately.
- Reprice the stack any time a product tier, vendor term or client count changes.
FAQs
Does the cheaper result mean that platform is better?
No. Total cost only matters after the plan meets security, permissions, workload, support and permitted-use requirements.
Can I use this for revenue forecasts?
No. The tool forecasts simple recurring expense only. Leads, meetings, sales and outcomes are uncertain and should not be inserted as guarantees.
Are the input values saved?
No. The calculator runs locally in the browser and does not send input data to the publisher.
