Key takeaway: Set up PlusVibe in this order: establish a client workspace and authorized personnel, verify the sending domain/provider, connect a mailbox using the documented connection flow, check authentication and warmup settings, then prepare a small approved campaign. Do not activate a campaign before a documented sign-off.

Documented mailbox connection steps

  1. Sign in and navigate to Email Accounts, then Add New Account.
  2. Use the provider option offered for the actual sender (Google Workspace, Microsoft 365 where supported, or “Any Provider” for a custom IMAP/SMTP account).
  3. For custom SMTP/IMAP, obtain hostnames, ports, TLS settings and approved credentials from the mail host. Do not guess server names or publish credentials in shared documents.
  4. Confirm the account appears in the email-account list; send/receive a legitimate test and check raw message authentication results.
  5. Enable and inspect warmup via the sender-account settings where permitted. Set limits according to account history and recipient-provider rules; never treat warmup as permission to send unsolicited mail.

This sequence follows PlusVibe's current email-account connection instructions and warmup documentation. Interface labels may evolve; verify in the active account.

Before logging in: prepare the client operating record

This is a documented setup walkthrough and preflight, not a claim that Outbound Systems Lab has configured a real PlusVibe account. Gather: authorized client owner, domain inventory, mailbox provider, existing DNS records, approved list source, target audience, opt-out approach, reply owner and which teammates need platform access.

PlusVibe documents connecting Google Workspace, Gmail and custom IMAP/SMTP accounts, and using the Email Accounts area. Exact steps can change, so consult current vendor instructions while following the sequence below.

Step 1 — plan workspace permissions

Confirm your subscription supports the required client-workspace model. PlusVibe's workspace guide describes Workspace Admin and Workspace User roles with different privileges. Assign an administrator for configuration and a user role for campaign operators who should not control membership or API keys. Verify whether a client needs a separate environment.

Checkpoint: A test operator cannot see or change data outside the intended client boundary. Do this with sample information before uploading real lists.

Step 2 — connect a sender account

Open PlusVibe's documented Email Accounts → Add New Account flow and choose the correct mailbox provider. Follow the provider-specific authorization process; do not paste primary credentials into unofficial screens. For custom SMTP/IMAP configurations, confirm hostnames, ports, encryption and provider permissions.

Next, send a legitimate test message to a controlled inbox and inspect authentication results. If DKIM or SPF fails, repair the sending configuration before treating the account as campaign-ready. The authentication guide covers validation.

Step 3 — review warmup and sending controls

PlusVibe's help center describes enabling warmup from the Email Accounts area and configuring settings including daily limit and ramp-up. These are operational controls, not a deliverability guarantee. Follow mailbox-host policy, confirm the vendor's current defaults and record the chosen settings. Do not substitute warmup metrics for genuine reply and complaint signals.

Use the email warmup schedule to document hold/proceed decisions, and the per-domain sending guide to avoid confusing general provider limits with recommended campaign behavior.

Step 4 — prepare a draft campaign, not an immediate blast

Validate prospect eligibility, deduplicate and import only approved contact records. Create a small campaign draft with truthful sender identity, appropriate subject lines, opt-out handling and a named human reply owner. Review the sequence in a test group that has agreed to receive it. Confirm suppression behavior and client segmentation before any wider legitimate activity.

Agency acceptance test: invite a non-admin operator, create a dummy campaign, submit a controlled reply, verify who receives it and confirm that opt-out and client data remain correctly scoped.

Step 5 — monitor and hand off

Maintain a client runbook with domain, mailbox, workspace, approved campaign, permissions, errors and ownership. Track rejections, complaints, qualified human replies and platform permissions. When a customer leaves, document export, token revocation and access removal.

If your workflow requires code, validate the PlusVibe API eligibility against the purchased tier. If you have not chosen a subscription, review PlusVibe Pricing and PlusVibe vs Instantly before setup.

PlusVibe: verify the current offer

Have one client owner approve the final workspace access, sender connections, suppression rules, test-email headers, reply routing and launch checklist. If any check fails, leave sending paused and investigate the named provider or account.
